 Minimum Requirements:
  • High School Degree with 1 – 3 years of receptionist or administrative experience; or
  • Bachelor of Science Degree from an accredited institution with 0 – 1 year of receptionist or administrative experience
Required Qualifications:
  • Ability to answer and process incoming calls using a multi-line telephone
  • Must have a professional demeanor, as well as a pleasant manner and positive " can-do” attitude at all times
  • Exemplary communication (both orally and in writing) and listening skills are necessary
  • Ability to multi-task and to prioritize work in order to meet deadlines
  • Ability to remain professional and flexible under pressure
  • Must be detail oriented and organized
  • Must be able to handle sensitive information
  • Must have strong grammar and spelling skills
  • Ability to type at least 35 wpm
  • The ability to work in a team environment
  • Ability to use tact and skill in dealing with other staff, vendors, and customers
  • Excellent customer service / phone skills required
  • Must have ability to handle multiple tasks
  • Skilled in all aspects of computer use, including Microsoft Office applications as well as common business machines
General Description:
The receptionist has a unique responsibility of making a good first impression, which can impact the success of our company.  You are the first line of employees that visitors interact with, so it is vital that the receptionist be friendly and helpful.  Because this position is front and center, the receptionist is expected to be professional at all times while delivering top-notch customer service to fellow employees and visitors.  
Essential Functions:
  • Answers, screens, and routes incoming calls
  • Greets, screens and maintains log book for all visitors
  • Check fax machine promptly and regularly; dispenses faxes to appropriate personnel with special attention to urgent faxes
  • Receives, distributes and forwards mail and parcels
  • Prints and distributes timesheets weekly
  • Responsible for the upkeep of the ' Front Desk Guide Book'
  • Prepare correspondence and other documents and make revisions as necessary
  • Order and stock office supplies
  • Maintain office equipment such as copier, fax and postage machine
  • Check phone mail messages as needed
  • Responds to all inquires in a courteous and helpful manner
  • Works with staff members to schedule and organize activities which includes ordering and/or setting up refreshments, meeting room schedule, and preparing meeting materials as necessary
  • Maintain job related files with attention to detail and accuracy
  • Enter Purchase Requisitions into the accounting database and works closely with the Purchasing Department
  • Code vendor invoices as necessary
  • Assist in the end of month billing process as required
  • Handle paid time off requests as needed and works with the Human Resources Department
  • Process various UPS, FedEx, and Certified Mail transactions
  • Self-starter, team player; High level of energy and initiative; willing to work hard and eager to learn
  • Gain product knowledge
  • Demonstrated ability to seek, learn, and apply new skills and knowledge
  • Able to complete tasks ahead of schedule
  • Hearing and speech sufficient to verbally communicate in person and on the telephone
Other Duties:
  • Perform additional tasks/duties as assigned by supervisor and/or upper management
  • Perform special projects and tasks as assigned
